Who we are

The Book Marketing Source is a book marketing consultancy for nonfiction business authors. The Book Marketing Source is a division of The Marketing Source, a strategic marketing consultancy.

This policy explains what information we collect, why we collect it, how we handle it, and what you can ask us to do with it. It applies to thebookmarketingsource.com and to the work we do for clients.

Information you give us

We collect information you choose to send us. That includes:

When you request a free Book-to-Client Review: your first name, email address, book title, whether the book is published, publication date or expected date, and, where you provide them, a retail link, a link to your manuscript or a sample, a website address, a LinkedIn profile address, and a sentence describing your ideal client.

When you contact us: your name, email address, the reason for your message, and the content of your message.

When you download a resource or subscribe to our list: your email address, and your first name if you provide it.

When you request or buy a module, package, or audit: the information above, plus what you tell us about your book, your business, your goals, and your timeline.

When you become a client: the material we need to do the work. That may include your manuscript, your book files, access to your website, access to your email platform, access to advertising accounts, interview recordings and transcripts, existing marketing material, and client or reader material you choose to share with us.

Payment information

We invoice through QuickBooks, and payments are processed by QuickBooks and its payment processors. Card numbers and bank details are entered on their systems, not ours. We do not see, store, or have access to your full payment card number. We keep a record of what you were invoiced, what you paid, and when.

Information collected automatically
Our website runs and is hosted by WordPress. Like most websites, it records technical information when you visit: your IP address, browser type, device type, referring page, the pages you view, and the time of your visit. This is used to keep the site working and to understand which pages people read.

We use Jetpack to measure site traffic. It sets cookies and collects the technical information described above.

Cookies

Cookies are small files stored by your browser. We use them for two purposes: to make the site function, and to measure traffic.

Essential cookies keep the site working and cannot be switched off. Analytics cookies are optional. You can refuse or delete cookies in your browser settings. If you refuse essential cookies, parts of the site may not work.

We do not use cookies to build advertising profiles of visitors, and we do not sell information about your visit to advertisers.

Unpublished manuscripts and pre-publication material

This section applies to anyone who sends us a manuscript, sample chapters, an unpublished book, or any other material that is not yet public.

We treat unpublished material as confidential. Specifically:

We do not share it. Your manuscript is not shown, sent, or described to any third party, including other clients, referral partners, publishers, or agents.

We do not quote or reproduce it. We do not read passages aloud, display pages on screen, or excerpt your text in a recorded video, a written report, a case study, a marketing piece, a social post, or anywhere else.

We do not use it to train AI systems. Client manuscripts and client material are not uploaded to public generative AI tools and are not submitted to any service that uses submitted content to train its models.

We read it for context, not for critique. When you send a manuscript with a free Review request, we read enough of it to understand what your book is about. The Review does not include editorial feedback, an assessment of your writing, or a promise to read the manuscript in full.

We delete it on request. Write to hello@thebookmarketingsource.com, and we will delete the manuscript and any copies of it, and confirm in writing that we have done so.

If you want a signed non-disclosure agreement before sending anything, ask. We will sign one.

How we use your information

We use the information described above to:

  • Deliver the free Book-to-Client Review, the paid Audit, and any module, package, or retainer you purchase
  • Reply to your questions and schedule calls
  • Send invoices and keep financial and tax records
  • Send you emails you have asked to receive, including resources you requested and our newsletter
  • Improve our website and understand which pages are useful
  • Meet our legal and accounting obligations

We do not sell your personal information. We do not rent, trade, or share it with advertisers or data brokers.

Email

If you give us your email address to receive a resource or subscribe to our list, we will send you the resource and, unless you unsubscribe, occasional email about our work. Every marketing email includes an unsubscribe link, and unsubscribing takes one click. You can also write to us and we will remove you.

Email sent to you about work we are doing for you is not marketing and continues while the engagement is active.

Our email is managed with Kit. Kit records whether an email was opened and whether a link was clicked. Team email is managed with Missive.

Service providers

We use a small number of established providers to run the business. Each one holds only what it needs to do its job.

We use contractors and team members to help deliver client work. They are bound by confidentiality terms and are given access only to what a specific task requires.

If we are ever required to disclose information by law, by a court order, or by a valid request from a government authority, we will do so, and we will tell you unless we are prohibited from telling you.

Recorded video

The free Review and the paid Audit are delivered as recorded video hosted on Loom. Links to your video are unlisted. We do not publish client videos, and we do not use a client video as a marketing sample without written permission.

How long we keep information

  • Enquiries that do not become engagements: up to two years, then deleted
  • Email subscribers: until you unsubscribe, and then a suppression record so that we do not email you again
  • Client records and deliverables: seven years, which is what our accounting and tax obligations require
  • Manuscripts and unpublished material: deleted at your request at any time, and otherwise deleted at the end of the engagement unless we need it for work still in progress

Your rights

You can ask us to:

  • Tell you what information we hold about you
  • Send you a copy of it
  • Correct anything that is wrong
  • Delete it, subject to records we are legally required to keep
  • Stop sending you marketing email
  • Stop processing your information for a particular purpose

Write to hello@thebookmarketingsource.com. We will reply within thirty days. We do not charge for this and we will not treat you differently for asking.

If you are in California, you have specific rights under the California Consumer Privacy Act, including the right to know what personal information we collect, the right to delete it, and the right to opt out of its sale. We do not sell personal information.

If you are in the United Kingdom or the European Economic Area, you have rights under the UK GDPR and the EU GDPR, including the rights listed above, the right to data portability, and the right to complain to your national data protection authority. Our lawful bases for processing are performance of a contract, our legitimate interest in running and improving the business, your consent where you have given it, and compliance with legal obligations.

Transfers outside your country

We are based in the United States and our providers are largely based in the United States. If you contact us from outside the United States, your information will be transferred to and stored in the United States. Some of our contractors work outside the United States and are bound by the same confidentiality terms.

Security

We use access controls, unique passwords, and multi-factor authentication on the accounts that hold client material. No system is perfectly secure, and we do not claim otherwise. If a breach affects your information, we will tell you and tell the relevant authority where the law requires it.

Children

Our services are for professional adults. The site is not directed at children, and we do not knowingly collect information from anyone under sixteen. If you believe a child has given us information, write to us, and we will delete it.

Links to other sites

Our site links to other websites, including retail listings, social platforms, and provider pages. We are not responsible for their privacy practices. Read their policies.

Changes to this policy

We will update this page when our practices change, and we will change the date at the top. If a change is significant, we will say so on the page and, where we hold your email address and the change affects you, by email.
